Professional document authentication
Birth Certificate Apostille Services
Use your U.S. birth certificate abroad with confidence. Apostille Ready helps clients obtain the correct apostille for citizenship, marriage, immigration, residency, education and other official procedures.
What Is a Birth Certificate Apostille?
A birth certificate apostille is an official authentication that allows an eligible U.S. birth certificate to be presented in another country participating in the Hague Apostille Convention. It verifies the signature, seal or authority connected with the certificate. It does not certify that every statement in the birth record is true, nor does it replace the certificate itself.
The correct procedure is determined by the state or jurisdiction where the birth certificate was issued. It is not based on where you live now. Apostille Ready reviews the issuing authority, document format and destination country so your application follows the proper route.
When Do You Need an Apostilled Birth Certificate?
Foreign government offices, courts, schools and other institutions may request an apostilled birth certificate for:
Citizenship by Descent
Documenting a family relationship for dual citizenship or recognition of citizenship through a parent or grandparent.
Marriage Abroad
Providing proof of identity, age, parentage or civil status before a marriage is registered in another country.
Immigration and Residency
Supporting visa, residency, family reunification and other immigration procedures outside the United States.
Education
Completing international school or university enrollment and student-document requirements.
Adoption and Family Matters
Submitting vital records in adoption, guardianship, custody or other family-related proceedings.
Legal and Administrative Use
Meeting the requirements of courts, civil registries, notaries, banks or government agencies abroad.
Which Birth Certificate Is Eligible?
Most apostille authorities require an official certified copy issued by the state or authorized vital-records office. A hospital souvenir certificate, ordinary photocopy or uncertified scan is generally not eligible.
- Certified copy with the appropriate registrar’s signature and seal
- Long-form or full birth certificate when required by the receiving authority
- State-issued or otherwise properly certified vital record
- Recent certified copy when the destination country imposes an age limit
Long Form, Short Form or New Copy?
Requirements are not identical in every country. Some authorities accept a standard certified copy, while others specifically request a long-form certificate showing parent information or a document issued within a recent period.
If your certificate is old, damaged, laminated, issued by a hospital or missing a recognizable certification, you may need to order a new certified copy. Do not alter, staple, laminate or remove pages from a document intended for authentication.
Always confirm the receiving institution’s requirements, including whether it needs a translation and whether the original certificate must accompany the apostille.

State Apostille vs. Legalization
Because a U.S. birth certificate is a state or local vital record, it is generally authenticated at the state level. The state connected to the document controls the process.
If the destination country participates in the Hague Apostille Convention, an apostille is generally used. For a non-member country, the certificate may require additional authentication and consular legalization.
Illinois Office, Nationwide Assistance

Frequently Asked Questions
Can a photocopy of a birth certificate be apostilled?
Usually not. The competent authority generally requires an official certified copy with the proper signature and seal. A plain photocopy, scan or hospital keepsake certificate is normally insufficient.
Does the birth certificate have to be recently issued?
It depends on the destination authority and the rules of the issuing state. Some foreign institutions request a copy issued within the previous three, six or twelve months, while others accept older eligible certificates.
Where is the apostille issued?
The apostille is generally obtained from the competent authority in the state connected to the birth certificate. Your current address does not determine where the document is processed.
How long does a birth certificate apostille take?
Timing varies by state, current government processing volume, document condition and shipping method. Translation or legalization for a non-Hague country may add time. Contact us for a current estimate.
Will I need a certified translation?
Possibly. An apostille authenticates the certificate but does not translate it. The institution receiving your document decides whether a translation is required.
Can Apostille Ready help if my destination country is not in the Hague Convention?
Yes. Tell us the destination country and issuing state so we can help identify whether authentication and consular legalization may be required instead of an apostille.
